OVERVIEW

In the era of digital transformation, companies often face the challenge of transitioning their technological infrastructure to more efficient platforms. National Storage Affiliates (NSA) faced a significant challenge in migrating its file system from Datto to SharePoint. This transition required that users be proficient in navigating the new platform. To address this, NSA initiated a series of training sessions provided by Greystone Technology, a New Charter Technologies company, aimed at familiarizing users with SharePoint’s interface and functionalities. This proactive step enabled team members to benefit from the range of collaboration and content management capabilities the platform provides.

NSA, a Greystone Technology client, recognized the necessity of transitioning their file management system, prompting Greystone’s Project team to engage. Training was critical in making sure the investment in SharePoint translated into increased productivity and efficiencies for the team by facilitating the adoption of SharePoint as their new system of record.

This project exemplifies New Charter’s commitment to utilizing the collective knowledge and resources within its network of companies. Our scale and strength in numbers directly benefits our clients.

CHALLENGE

The primary challenge NSA encountered was the need to seamlessly transition its file management system from Datto to SharePoint while ensuring minimal disruption to daily operations. The existing user base was accustomed to the Datto platform, posing a potential barrier to adoption and productivity. Without proper training and support, there was a risk of user resistance and decreased efficiency post-migration.

SOLUTION

To address the challenge comprehensively, NSA, through Greystone, implemented a robust training program focused on equipping users with the necessary skills to navigate and utilize SharePoint effectively. The training sessions were tailored to the specific needs and workflows of NSA employees, covering topics such as file organization, document sharing, version control, and collaboration features available within SharePoint. Additionally, workshops and user guides were provided to reinforce learning and facilitate a smooth transition.

By prioritizing comprehensive training initiatives, NSA was able to address challenges and facilitate a smooth migration process. The investment in training yielded positive results, with users demonstrating improved proficiency in navigating SharePoint and leveraging its features to support their workflows.

RESULTS

The training sessions led to significant improvements in user proficiency and confidence in using SharePoint. Employees were able to navigate the new file system with minimal roadblocks, locate migrated files efficiently, and leverage SharePoint’s collaborative features to streamline workflows. As a result, NSA successfully migrated its file system to SharePoint without major disruptions to operations. Although some challenges, such as syncing issues, persisted post-migration, overall functionality and user satisfaction with the platform improved over time.

CONCLUSION

The transition from Datto to SharePoint presented NSA with various challenges, primarily centered around user adoption and proficiency. By prioritizing comprehensive training initiatives, NSA was able to address these challenges effectively and facilitate a smooth migration process. The investment in training yielded positive results, with users demonstrating improved proficiency in navigating SharePoint and leveraging its features to support their workflows.

This case emphasizes the critical need to prioritize both people and processes alongside technological advancements to ensure the success of a digital transformation. Without addressing these elements during a technology project, the return on investment may not be fully realized. Furthermore, it is crucial to invest in the individuals who will be utilizing these new advanced tools. By doing so, we can significantly enhance overall effectiveness.
